Who we are
NewtecQ (New-tecq CC) is an independent, owner-operated IT consultancy based in Kempton Park, Gauteng, supporting clients across South Africa. This policy explains how we handle personal information collected through our website at newtecq.co.za and in the course of providing IT services.
For any privacy question, or to exercise a right described below, contact us at christo@newtecq.co.za.
What personal information we may collect
- Information you submit through our enquiry form or other contact methods — such as your name, company name, email address, telephone number and the content of your message.
- Contact and account details of clients and their representatives, where we provide IT services or support.
- Limited technical information generated when you visit the website, which may include IP address, browser and device information, and basic usage information (such as pages requested), where such information is processed by our hosting and network providers for operation and security purposes.
We do not intentionally collect special personal information or information relating to children through this website.
Why we process personal information
- Responding to enquiries and quotation requests.
- Providing IT services, projects and ongoing support.
- Customer administration, including scheduling, invoicing and record keeping.
- Security, fraud prevention and protecting our systems and clients' systems.
- Operating the website reliably, including basic usage information where available.
- Meeting legal, regulatory and accounting obligations.
We process this information on the basis of your consent, the performance of a contract or a legitimate interest, and only for the purposes described above.
When information may be shared
We do not sell personal information. We may share limited information with legitimate service providers who help us operate — for example website hosting and network security providers, the email delivery service used to transmit enquiry submissions, and professional advisors or accounting services. These providers are expected to process information only as needed to deliver their service.
Third-party services used by this website (including our hosting platform, the web font service and the email delivery provider that transmits enquiry messages) may process limited technical information in accordance with their own privacy policies. We may also disclose information where required by law or to protect our rights.
Security safeguards
We apply reasonable technical and organisational measures appropriate to the size of our practice — including access control, encrypted transmission of website submissions, endpoint protection and multi-factor authentication where applicable. No method of transmission or storage is entirely secure, so we cannot guarantee absolute security.
Retention
We keep personal information only for as long as it is needed for the purpose it was collected, or as required by law and for legitimate business records (for example tax and accounting requirements). Enquiries that do not proceed are deleted once they no longer serve a purpose.
Your rights under POPIA
- To be notified about the collection of your personal information.
- To request access to the personal information we hold about you.
- To request correction, or deletion or destruction where the information is inaccurate, irrelevant, excessive, out of date or no longer authorised to be kept.
- To object to processing in the circumstances permitted by POPIA.
- To withdraw consent where processing is based on consent.
- To lodge a complaint with the Information Regulator of South Africa if you believe your information has been handled unlawfully.
To make a request, email christo@newtecq.co.za with enough detail to identify the information concerned. We may need to verify your identity before acting, and some information may need to be retained where the law requires it.
